Using software for document management

Very often we can’t find important document we need immediately among great number of different papers on our desk or in our file cabinets. We turn upside-down everything and sometimes still can’t find the documents. Or we have lots of electronic files on our computer and when we need one of them we waste much time looking for it. How to manage paper documents

  • Label all your file folders with numbers or names, e.g. label the first file folder "1", the second one "2", etc.; the file folders should be arranged in numerical or alphabetical order so it's easy to find specific numbers.
  • For each item that you file away, you enter the name of the item and any keywords associated with it, e. g. if you filed away instructions for your vacuum cleaner, you'd create a task called "Vacuum Cleaner Instruction Manual" and in the notes section you'd add keywords like "clean, tiding up, vacuum cleaner, dust"; the category might be something like "4" which would be the label of the physical file you filed it under.
  • When the time comes to find this document, use the search function and search for keywords concerned with it. In our example we’d search for keywords "clean" or "dust" or "tiding up". You’d get a result of all the matched items; see that its category is "4" and would then know that in your filing cabinet you'd find it under file label "4".

How to manage electronic documents

  • Create a task with the name of electronic document you want to file away and enter keywords associated with it to the notes section. Attach link to this file. For example you want to file away your business contract or even holiday picture. You should create task "My picture". In its note section you can add like keywords “holiday, picture”, etc. Then you should attach the link to you picture file to the task "My pictures".
  • Use the search function to search for keywords you associated with required file. In our case you will find you picture if you enter words “holiday” or “picture” in search field.
