Task Report Checklist When a team works on some project, it needs to do a range of tasks. When these tasks are completed, the team needs to report on the results achieved. The following Task Report Checklist identifies a range of task attributes to help your team write a report on their tasks.

  1.  Description.
    • Name. First of all, add names of tasks to your report.
    • Purpose. Every task has a purpose (why do the task?). In your report there should be a short description of the purpose.
    • Additional information. For example, a task has notes and records specifying the purpose and ways of implementation.
  2.  Timing.
    • Actual start time. This characteristic indicates when a task is actually started (date & time).
    • Actual completion time. It shows when the task is successfully completed. In case the task is failed (incomplete), there should be an appropriate record added to the report.
    • Actual duration. This attributes actual means a difference between the actual completion time and the actual start time. Duration is usually measured in working hours/minutes.
    • Estimated start time. It shows date & time when the task is expected to begin.
    • Estimated completion time. This attribute determines date & time when the task is expected to accomplish.
    • Estimated duration. It’s a number of working hours estimated by subtracting the estimated completion time from the estimated start time.
    • Estimation method. Describe a method used for estimating the mentioned characteristics.
  3.  Cost.
    • Estimated cost. It shows expenses planned for every task.
    • Actual cost. This characteristic indicates an amount of expenses actually spent on every task.
    • Budget. It determines the total amount of financial resources allocated to tasks.
  4.  Resources.
    • Assigned resources. This characteristic indicates names of team members originally assigned to tasks.
    • Assisting resources. There may be auxiliary resources that assist assigned resources to do tasks. You need to specify name of those resources in the task report in case you have them.
  5.  Workflow.
    • Dependencies. If tasks of your project are linked to each other, you need to describe task dependencies.
    • Recurrence. Perhaps, in your project there are some tasks that repeat on a regular basis. You need to make a description of such tasks, including their recurring patterns.
    • Issues. Make a description of issues your team faced when doing project tasks.
  6.  Risks.
    • Identified risks. Make a description of risks identified before tasks are started by your team.
    • Unforeseen contingencies. In case there’re some unforeseen contingencies that put a task under risk of failure, you need to specify contingencies in your report.
  7.  Performance.
    • KPIs. Add a list of KPIs (key performance indicators)...
