Initial Preparation
- Consider the number of people who will attend the presentation
- Select and schedule appropriate room for meeting
- Work out the presentation plan
- Set clear deadlines
- Decide what additional tools you will require during the presentation
- Order additional material if necessary
- Make an announcements for all interested parties of presentation
- Schedule the rehearsal date, if necessary
- Arrange refreshments
Meeting Room
- Define whether the room is large enough for all participants
- Check if it’s well-ventilated and air-conditioned
- Check if there is a dimmer switch in the room
- Check if there is a possibility to darken the room enough
- Check if it will be convenient for you to use the electrical outlets in the room
- Check if there are enough furniture in the room for all participants
- Check if the place where the screen will be placed is protected from the light
- Check if the room is protected from the noise and odours

Final Checks
- Check the slides to be clean
- Check the order of the slides
- Check the blank slides to be available to replace unusable ones
- Check if all video is on one cassette
- Prepare the “Don’t disturb” tablet
- Inform the receptionist about the names and titles of participants
- Check if everything is on its place in the room
- Check the cords and cables to be protected and out of the way
- Check the lenses to be clean
- Test sound levels
- Check all equipment to work properly
