Project Summary Checklist Project summary is a document that formally states the rationale, goals, objectives, methods, and benefits of a proposed project. It aims to convince the sponsor of the need to start the project. The following Project Summary Checklist explains how to develop this document.

  1. Rationale.
    • Make an analysis of the problem to be addressed by the project.
    • Summarize results of the analysis to describe reasons for launching the project.
    • Perform an analysis of the current business environment to prove that the proposed project has a higher priority to other projects (if any available).
    • Create a list of options or alternatives to the proposed project and then explain why this project is better.
    • Identify business drivers that prove the project is intended for addressing the business need/problem.
    • Make a stakeholder analysis to determine what people and organizations are involved in or affected by the project.
    • Explain stakeholder expectations and how the project is supposed to address those expectations.
    • Develop and document a decision package (the project rationale statement) that describes all the mentioned attributes of project rationale.
    • Prepare this document for review and approval by the sponsor.
  2. Goals & Objectives.
    • Determine the primary goal of the project.
    • Make a list of objectives to be accomplished by the project.
    • Determine preliminary timeframes for the project.
    • Make a list of key activities to be undertaken to do the project and accomplish all objectives.
    • Define criteria for measuring project success and determining whether objectives are met.
    • Perform an analysis to prove whether the proposed project and its goals and objectives are linked to the rationale (benefits and stakeholder expectations).
    • Develop a goal statement and submit this document to the sponsor for review and approval.
  3. Methods.
    • Describe the methodology selected to do and manage the project.
    • List key criteria for measuring project effectiveness.
    • Explain what methods and tools will be used in team motivation, guidance and leadership.
    • Make a general description of the governance structure (including rules for delegation).
    • Provide a description of the decision making model selected for the project.
    • State a broad scope of the project, including boundaries, user requirements, assumptions, and constraints.
    • Define key issues to be handled during the project course and explain how to manage those issues.
    • Make a list of deliverables to be produced
    • Explain what methods, tools and processes will be used to deliver the project as required.
    • Create a work decomposition model that explains what activities and procedures are planned for project implementation.
    • Outline a project implementation plan that determines how the project is supposed to be done.
    • Share this plan with the sponsor for review and approval.
  4. Benefits.
    • Make a list of benefits to be produced by the project.
    • Outline a benefits realization plan that explains how to produce expected benefits.
