Project Acceptance Checklist:

  • Make sure you have up-to-date Project (Product) Acceptance Plan;
  • This plan stipulates a procedure and methods of how the customer will evaluate the project’s results and products to check if they meet a predefined set of acceptance criteria. This plan is to be maintained by the Project Manager throughout the project development. It may include:

    • Required picture of deliverables to be produced by the project;
    • Their customer benefits and qualities to be approved;
    • The objectively explained criteria for determining acceptability of these products;
    • Product acceptance tasks to be accomplished (including audits, test methods, etc);
    • Assigned responsibilities and resources to be engaged;
  • Conduct a Technical (Physical) Audit of the project’s outputs to check if the Customer obtained all project deliverables as appropriate. Inspect and approve the:
    • Technical Configuration of project deliverables (completeness of the project’s products);
    • Handover or Physical delivery of the project’s products to the Customer;
    • Implementation of the project deliverables on the customer’s site;
    • Technical documentation delivered such as manuals, handbooks, tutorials, etc;
  • Perform workability testing procedures and on-site proving run as appropriate:
    • Test out the whole Configuration to approve its integral workability;
    • Test out particular components to approve their essential qualities;
    • Test out additional and supportive items, including documents;
    • Sign Test Certification document as appropriate;
  • Conduct a Functional (Quality) Audit of the project’s results to determine if they fully match the pre-planned requirements, level of quality, and usability:
    • Audit the whole Configuration to approve its integral suitability to requirements set by the Customer (according to acceptance criteria documented in Product Acceptance Plan);
    • Audit every particular component to approve its usability and quality;
    • Make sure users and operators are introduced to newly installed solutions and are properly trained to prevent any possible misuse;
    • Thoroughly document all items that were tested, along with their results;
  • Plan a Project Acceptance Review Meeting;
  • This is a meeting between a customer representative(s) and key members of the project team. It is held to discuss and close any pending questions in terms of Project Acceptance. The point of this meeting is mainly to consider:

    • Results of Technical (Physical) Audit;
    • Results of Functional (Quality) Audit;
    • Audit customer requirements to check if all of them are satisfied;
  • Attend and reach the purpose of Project Acceptance Review Meeting:
    • Sign Certificate of Technical Compliance;
    • Sign Certificate of Functional Compliance;
    • Get Customer’s Affidavit (Project Acceptance Certificate) – if the customer representative agrees that the project results have satisfied their acceptance criteria;
    • Finalize the deal as appropriate;
  • If some results are not satisfactory and cannot be accepted yet, then:
    • Make a decision on Conditional Acceptance: the Customer agrees...
