Gap Analysis Checklist:

  • Identify the subject(s) for your gap analysis effort – a project, the whole company, departments, manpower, particular personalities, processes, your company’s products, etc;
  • Identify the critical success factors (of the targeted subject) to be measured and evaluated – you will base your judgment about the gap between the present and desired situations on assessment of these factors;
  • Consider areas where you can collect necessary knowledge about current situation:
    • Management;
    • Finance;
    • Accounting;
    • Technology;
    • Sales and Marketing;
    • Production;
    • Human Resources;
  • Analyze the current situation on the subjected entity by:
    • Studying concerned business files and financial documents;
    • Conducting staff interviews;
    • Reviewing management decisions;
    • Assess the current performance in terms of market share, costs, sales and profits;
    • Examine technology and efficiency of physical assets;
  • Seize and describe the present situation – characterize the key factors of situation by appropriate measures (such as current level of competence, performance, profitability, etc);
  • Formulate a comprehensive answer to the first fundamental question of the gap analysis (where are we now?) – give a qualification to the present situation;
  • Focus on your current business prospects and targets, aligned with terms of your gap analysis, whether on the documented ones (the business plans) or a desirable vision (unformulated plans);
  • After the present state is determined, you should answer the second fundamental question of the gap analysis (where do we want to be?) – describe a picture of your objectives (the potentially desired situation which you are able to reach in future);
  • Since you have an understanding of the current state of your business (or a process, project, etc) and the objective vision of your potentially desired state, you need to look for discrepancies;
  • Figure out and formulate these discrepancies (so called “gaps”) between the present.....
