Business Process Creation Checklist Creating a business process is a challenge that requires much effort and time. A business manager involved in process creation needs to have a good understanding of the generic steps for planning and designing processes. The following Business Process Creation Checklist explains how to create and design a typical business process.

Four Generic Steps.

  • Process Identification: gaining a full understanding of all the activities of your business process
  • Information Gathering: establishing process objectives, identifying risks and setting key controls of the process
  • Process Mapping: creating a model of the business process and sharing this model among people involved in process execution
  • Analysis: launching pilot test to evaluate performance and make the process run more effectively and efficiently

Step #1. Process Identification.

  • Conduct an analysis of your business environment to identify current state of your business (e.g. you can use SWOT, PERT)
  • Identify key internal and external factors that have the greatest impact on your business
  • Define critical problems caused by any of the factors
  • Figure out if there are existing solutions or workarounds that can overcome the problems
  • Analyze which of the problems have a significant impact on customer satisfaction
  • Understand your customers’ needs and expectations
  • Identify current level of customer satisfaction and how the problems reduce it
  • Confirm the need for creating a process that could solve the problems and increase customer satisfaction
  • Develop an process outline that explains general workflow
  • Create a process timeline that includes start and finish time for process workflow
  • Break down process workflow into smaller work components, such as activities, steps and tasks
  • Schedule timeframes for workflow components
  • Add workflow components to the process timeline
  • Add milestones to the timeline
  • Develop a diagram of workflow components to have a big picture view of your business process

Step #2. Information Gathering.

  • Identify people involved in the process (stakeholders)
  • Define roles and responsibilities for stakeholders
  • Agree on buy-in requirements for stakeholders
  • Schedule stakeholder meetings for discussing process data
  • Establish process goals
  • Identify process risks
  • Agree on desired levels of process performance
  • Determine key controls for managing process risks and performance
  • Develop success criteria for your business process
  • Appoint employees who must execute the process
  • Plan for process contingency and develop corrective action plans
  • Develop a profile that specifies all the information (stakeholders, roles, goals, risks, performance expectations, controls, success criteria, appointed personnel, contingency plan) about your process


Step #3. Process Mapping.

  • Have one or several meetings with appointed employees to discuss the process
  • Explain key process data (goals, performance and risks) and what’s expected of the employees
  • Be sure every worker clearly understands your business process
  • Focus your employees on the key targets – customer satisfaction and business success
  • Develop a map of the process to create a visual representation of workflow and timeframes
