Message:
Hello,

I've done quite a bit of searching to find the right software to meet our needs and finally came across VIP Team To Do List. It is close to being perfect for what we need.

The only drawback that I can see is that it will not allow simultaneous access. Our non-profit association is small (2 employees to be exact!). I would like to be able to share the database simultaneously with my assistant. I know that VIP Task Manager has this functionality built in but to be quite honest, it is overkill for what we need. I have trialed both programs. I like the simplicity and features available in VIP Team To Do List and do not wish to use something more complicated.

I would be willing to pay more for the software to have this one extra feature built in. Is this something that you would consider?

I am currently using the trial version and wish to make a purchase in the very near future.

Look forward to your response!

Many Thanks - Bianca
I recently downloaded the trial version of the‘VIP Team To Do List’ and had a question about functionality. Is it possible to configure the software so that when an activity is checked and marked as ‘Done’ it will automatically send an email to a specified address? If not, could this function be added?
I am evaluating your product. It covers all my needs except two. for every todo item, I do a detailed follow-up of its progress. I do this by adding text to comment on a regular basis. example:

task: arrange appointment with plumber
comment:
16/12 17:00 called him. no answer
17/12 12:00 his wife answers. left a message
18/12 08:30 called back since he didn't answer. arranged appointment for next friday

To do his I have to add the timestamp (date and time) manually each time. It would be very helpful to have an automatic timestamp.

Secondly, I'd like to have a shortcut key to save a comment (f.e. ctrl-enter) in order to avoid having to click on the save icon.

Saw that someone had requested task templates in 2006. Just new to VIP organizer and it fits my work well...It would be great to have the ability to create task templates so I don't have to copy and paste the same set of tasks for every category I open.. I am now doing it the long way -- created a category with calls TASKS and i copy and paste this set each and every time to every file I open.

Maybe someone has an easier way of doing this?!

Would also be great if rows/tasks can be color coded or font colors change when it is completed (as an alternative to being struck out).

thanks!

- rachel
My other request:

I have problems to see how much time will all the tasks last for today and the other days. This is critical to keep the schedule realistic while recheduling my tasks.

I have to set "filter by due date" (in the future: "filter by from date" - see my previous post) to enter the date and then I have it - the "estimated time" summary shows the overall time. But let's switch to see the overall time for some other days - it requires much too many clicks.

Possible solutions:

1) In the group header (or footer), add the summary for estimated time. I'll then group by due date / from date and see the sums more easily

OR

2) While filtering by due date, left / right arrow should go to the previous / next day. THe overall time for each day is already visible in the "estimated time" summary.

All the best,
Grzegorz
Message:
I'm evaluating VIP Organizer and find it really powerful.

Please add (optional) "from" date to the task. Many much less poweful schedulers have "from" date. This is something different than due date:

Due date is a date on which a task must be finally accomplished. From date is a date on my calendar where the task appears. Before the from date, I do not need to think about the task. Ideally, I accomplish my tasks on from date, but when I have problems with my schedule, I move from date to tomorrow and so on, but I know that due date is the final day on which the task has to be accomplished.

Adding from date would make the schedule much more flexible. While grouping or filtering by from date I would immediately see what are the tasks planned for today (and the other days), and which tasks may be moved later, when I have problems (the "days left" column)

All the best to the VIP team and users

Grzegorz
Message:
I've been using VIP Organizer/Team To Do for almost 2 years now and I really love it. One thing, though, that I wish you would bring back is the calendar that used to be displayed in the filter area.

The newer filter bar, while being an improvement over the old way of filtering, is completely missing the calendar. When I want to see if I have something on a particular day of the week, I need to bring up the calendar from the "Due Date" section inside a task. I'd like to have the calendar right there on the filters bar (or somewhere) so it's in plain view - that way I can see what days of the week each of my tasks are due.

Thanks and keep up the great work.

-- Misha

It would be helpful if the task status list could be edited, like the category list. The 'canned' headings have limited application to my situation. Items such as "delegated", "hold" would be more helpful to me. Wuld just like to see the option to edit as needed.
1. Definitely agree that hierarchical subtasks is a GREAT thing to add. I almost picked another product due to that - but didn't since yours allowed me to assign resources.

2. In addition to adding custom icons (another user asked for this) I'd like the Option to GET RID OF ICONS - which don't match the military corporate culture we have around here or use only icons and not words (i.e. if I could upload my own icons I could use a stoplight - green/yellow red without the smiley face or up/down arrows). This applies to categories, priorities and status fields.

3. I'd like the option for "notes" field at the bottom of the page to be like the outlook preview window and "always be on" - not pop up and down.

4. Navigation bar is outstanding - it would be nice to have the other panels formatting be consistent with the navigation bar look and feel. It would be nice to add those other panels to the navigation bar (not as pages underneath but actually within the navigation bar).

5. I'd like the ability to autosync this with a hosted web solution (you host it - my company won't) - and to edit/update/add from my blackbeery and get those sync'd.
Forum: Feature Requests (VIP To Do List Line)
Message:
The Time Left figure is based on the Due Date. That's important information as it tells me how much time I have to complete a certain task.

It would be great if the tool could also look ahead and tell me something intelligent about the start date: if a task X is due on such-and-such date and is estimated to take N hours (and knowing how many work hours are in a day and how many work days in a week, as requested in separate thread), the tool can tell me how much time is left until I need to start working on task X.

Even nicer if this calculation would take other tasks into account, too. If task X is due on day DX and task Y is due on day DY and Y has higher priority than X and DY < DX, then obviously X needs to start even sooner to allow for being interrupted by Y, etc etc.

The Organizer is great to help me keeping track of tasks and delivery dates, but it could do a much better job at telling me what to do next.
I usually enter actual time and estimated time in hours or in days, and the tool supports that. The tool doesn't allow defining the rules for translating the units, thought.

For example, if I enter "7 days", the tool might translate that into "One week". Although it doesn't always work out that way, I'd like my Sunday off. So, for me, 7 days mean 7 work days, or one week and two days.

Also, how many work hours make a day, etc.

I find it important that a not-too distant release of the tool supports defining these conversion rules: how many hours in a (work) day, how many (work) days in a week, etc.
I am assuming by the relatively few number of posts in the forum that this is a fairly new product. Please register my support and enthusiasm for where you are with this to date and I hope this software is a big success for you. I can see it becoming very essential to help me in my life! Keep it up and good luck!
Brooks
I often have a To Do item that needs to be scheduled for a future date -- say, something I need to do on next September 15th. It would be a great addition if these items could be added with a future implementation date so they don't clog up the task list between now and then. Then add a filter "Don't show future tasks" or something like that. Make sense?
It would be very handy to be able to change the % complete for an item from the toolbar -- perhaps in a drop down box -- rather than having to open the task and change it there. This would then work like the CHANGE CATEGORY drop down toolbar item.
By default, I'd like to be able to open a database and only view a predefined filter - for example, UNCOMPLETED by default. Could this be done?
We are a publishing company with a 60 day publishing cycle. Every 60 days, we do the same tasks over and over. We would desparately need VIP Team To Do List to have the ability to copy a category and all its children to a new category entry -- sort of like a template of to do's for a repeating project. Currently, I can only make it copy tasks, but not sorted by sub-category and not preserving the resource assignments. Am I missing something or is this a feature that can be added in the next release?
If I start a recurring task in january, and it is now march, how can the task be considered overdue. It's only overdue if there is an end date and the current date is past the end date...

Does this sound reasonable? Can the application be changed to consider recurring tasks as overdue only when they are past the end date. (So if the task never ends, it's never overdue).
thanks
Could you please consider adding functionaility to the recurrence functions. It doesn't allow for weekly other than 1 week. Sometimes we might want to do a task every second (other) week, or everyt 3 weeks etc. perhaps add into weekly dialog drop down for "every 1 week, 2 weeks, 3 weeks" etc.
---
Monthly recurrence; Very limited at present. Only caters for fixed day of the month. What if that day is a weekend? Can it be set to (eg). Every first monday, or move to monday if task occurs on a weekend etc. needs much more flexibility in this area.
---
This software is all about tasks. One of the fundamental things you would expect to find in such software is a calendar of working days, public holidays and start/end times for days. I cannot locate this in the software
---
Need more options for Estimated time; 2 Weeks is too small. I want to enter tasks that might take months. can you add 3 - 12 weeks?
---
if I have a category or sub-category selected can you make the category in the 'create task' function default to that category? Is this something anyone else would like to see?
---
If I copy and paste text from a word doc the text is indented in the note field and I cannot left align the text in the box (even using the alignment buttons).
